Make the route and timing clear
Name the airport, travel direction, date, flight number and terminal if known. Specify that scheduled times are local. For travel to the airport, provide the pickup address and flight departure time, then agree when to leave.
Include the destination address or map location to avoid confusion. Ask whether you must report terminal or schedule changes.
Describe passengers and all luggage
Seat numbers do not confirm luggage space. List bags, pushchairs, unusually sized items and additional stops. Confirm that the proposed vehicle fits your group.
- Number of adults and children.
- For a child seat: the child's age, height and weight, the available seat type and its charge.
- Number and approximate size of suitcases, hand luggage and pushchairs.
- Any particular boarding or storage requirements.
- Preferred language and a contact for the travel day.
Confirm meeting arrangements and the full quote
Ask where to meet and how to identify the driver. Establish who monitors delays, how much waiting is included and when it starts. Save a contact in case you cannot find each other.
Request a total price and currency. Confirm whether parking, road charges, child seats, waiting and stops are included. Discuss payment, deposits, cancellation and flight changes. Request written confirmation.
